SDDI and SAIS Online will be offline the following days:
 
Date: November 26 (4 PM) – December 2, 2008 (8 AM)
Integrity: ADM, SPED, Support Programs, FED SPED
Aggregation: None
 
Extra time is needed to process the 2.5 million additional records for FY09 SPED and FED SPED now that the fix has been implemented.
SDDI File Submission Not Showing

SDDI file submissions are not displaying as quickly as normal do to large amount of submissions and the system trying to play catch up with processing.
 
This in turn slows down the amount of time it takes to display the result of a file submission on the status page. Files will be processed and status might take until the next morning to display results.

Integrity Report Error FY08 & FY09

The following errors will be addressed very soon which majority will see for FY08 and FY09:
 
-44301 Invalid DOA type for SPED services.
 
Once this error is fixed, the files will be automatically processed again by ADE and will rectify what currently shows on the reports.

AZ Safe Data Submissions FY2010

SAIS Technology Coordinators
There are new requirements in regard to Incident data capture at the school level and state level, effective FY 2010. Schools will have a choice between using an online system developed at ADE named ‘Az SAFE Online’ or using enhanced local Student Management Systems (SMS).
A video of ‘Az SAFE online’ and the Data Capture and Submission requirement documents are available on ADE website at http://www.ade.az.gov/sa/health/ under ‘Az SAFE - Arizona Safety Accountability for Education - Data for Decisions’.
Communication between ADE School Safety division and the LEAs and between ADE IT, ASCUS and SMS vendors have been occurring since the beginning of 2008. All districts superintendents and schools principals have been contacted by ADE School Safety division regarding the requirements.
It was brought to our attention that we may have not reached all LEA IT staff, hence we decided to communicate the following to you, asking that you share this information with appropriate staff in your LEA. If you are an ASCUS member you have already received this information.
At this time we received commitments to enhance the SMS from the following vendors:
• Mojave – Tucson USD
• CrossPointe LLC
• SIRS – School Logic
• SILK – Exlogica
• SCHOOLMASTER
• GENESIS – Edupointe
• SASI - Pearson
The following SMS vendors acknowledged receipt of the requirement documents but did not submit a project plan or other expression of commitment
• Tempe USD
• STI
• POWERSCHOOL – Pearson
• SMART – Innovative School Solutions
• ESIS
We suggest that any district with an SMS not in the commitment list, find out if their vendor intends to implement the Incident data enhancements.
Schools that will not have enhanced features in their SMS will have to use the ADE system Az SAFE Online.
The School Safety division has been conducting workshops on the new Incident Data Capture Requirements. If you or other staff in your LEA wish to participate in such a workshop please go to www.ade.az.gov/onlineregistration (Standards & Assessment: School Safety & Prevention).

SDDI/ SAIS Online: Offline (Month End Processing)

SDDI/ SAIS Online will be offline for month-end processing from 10/31/2008 4:00 PM until 11/6/2008 8:00 AM.
 
We will be completing the following:
FY09 Integrity - ADM, SPED
NO FY09 Aggregations at the moment

SDDI/ SAIS Online will be offline while the Integrity process is running from 10/15/08 at 4pm until 10/20/08 at 8am.

FY09 First Integrity and Aggregation run

Integrity run: All schools - October 15, 2008 4pm. ADM Integrity only.
 
Aggregation: At a later date
 
Until this integrity run users will continue to receive the message stating "Sorry, no system activity was found for this entity."

SDADMS72 Unadjusted Student ADM Report

The SDADMS72 Unadjusted Student ADM Report now has an option displayed as "ALL" to include all grades for the entity. This option is available for all Fiscal Years.

There is no scheduled down time this weekend for integrity. Integrity is scheduled for a later date at the moment. Systems will remain open.
FY09 Rollover/ SDDI & SAIS Online

FY09 rollover is now complete and SDDI and SAIS Online is now available for use.
 
Note: Integrity will not be run on the files submitted at this time. We will notify everyone again once Integrity begins.
Systems Unavailable 8/22 - 8/25

During the weekend of August 22nd, the Information Technology department will be relocating most of our equipment to a new Data Center.
 
Starting Friday, August 22nd after 5:00PM, all of ADE’s servers will be offline. 
 
We plan to have all services restored by 5:00AM, Monday, August 25th.

FY09 Rollover/ SDDI & SAIS Online

SDDI and SAIS Online will continue to be unavailable at the moment.
 
A re-calculation of all student data for all schools will be engaged Friday July 18 - Monday August 18th. At that time we will be running a forced Integrity and Aggregation for all student data for FY08.
