An internal ADE ticket has been opened on the issue with the goal of receiving a detailed understanding of the absence calculation and the implementation of any modification if necessary. | 32705 | open - software devlopment | |

| | Beginning in FY 2006, The Funded SPED DOR element in a SPED 014 transaction is required for all add, change, and delete operations. Documentation will be changed once new versions are posted. | | | |

| | UPDATE - Status - 4:10pm - Wed. June 29, 2005: All of the failures identified below have been fixed and are going through a data cleanup process. After the clean ups are complete, those affected will be run through SPED Integrity to clear up any false failures. The one outstanding issue is with failure -44362 relating to a specific scenario. Please stay tuned to email and bulletin board notifications and status updates on this issue. ---------------------------------------------------- Please note that ADE has identified certain SPED Integrity errors that may have been falsely generated with the most recent Integrity runs. -44302: Invalid DOA type for preschool SPED services. -44304: School is not approved to provide this Need Code. -44323: Invalid DOA for a self-contained SPED service. -44337: Student must be 5 years old by Jan 1st to generate funding for KG/UE. -44340: There is no SPED DOR specified for all or part of this SPED Service. -44357: SPED exit reason 8 is only valid for PS. -44358: Student's age on SPED Service Exit Date does not qualify to use this SPED Exit Reason. (specific to SPED Exit Reason code 3 - maximum age) -44359: Must be between 16 and 21 on December 1st to count as a graduate for Special Education. (specific to SPED Exit Reason code 2) -44362: combination of SPED Need Categories that are concurrent for this student is either incorrect or incomplete A vast majority of the above errors are being generated correctly. But, if your client side data is accurate and you still believe you may be experiencing a possible false SPED Integrity error, please be advised that you should not alter or change your correct SPED data in hopes of correcting the false error. ADE will resolve these issues without the need for further user uploads.

| | The issue with the 'Special Assitance Indictor' has been resolved. This indicator is now working as expected. Thank You. --------------------------------------------------------- The newly enhanced SdSUPP72 Free and Reduced Lunch Totals report may be returning incorrect results for the 'Special Assistance Indicator' (see description below as posted in a previous bulletin). ADE is aware of the anomaly and is working on its resolution. Please check back for updates. Thank You. ------------------------------------------------------ Under the National School Lunch program, Provisions commonly known as Provisions 2 and 3 reduce paperwork and meal count burdens for schools that have high free and reduced participation eligibility. These are known as Special Assistance schools. The following modifications, which are specific to students in a Provision 2 or Provision 3 designated school, have been made to the SdSUPP72 Free and Reduced Lunch Totals report: • Added a 'Special Assistance Indicator' Column with possible values of 'Y' or 'N' o If indicator is 'Y' (school is on Prov2/3 status), the Free Lunch count is reduced to 0, and the reduced lunch count reflects all students in that particular entity o If indicator is 'N', report counts have not changed

| The date that was submitted falls outside the Fiscal Year in the header | UPDATE - You need only submit those Initial IEP meeting dates that occurred in the current FY through SAIS. More details will follow in Inside SAIS and the requirements documents as to how Initial IEP will be reported in the future. If a user tries to submit an Initial IEP transaction that has an Initial IEP date in the previous FY, the above error will occur and the transaction will fail. Many do have this scenario where the Initial IEP meeting date fell prior to the current FY. ADE is working on possible enhancements to this transaction for the future, but this scenario cannot be currently submitted via SAIS. You can submit if the Initial IEP meeting date fell within the current FY. A workaround to submit data for this scenario is currently being discussed at ADE. An announcement will be made soon as to the results of these discussions and a possible workaround. | | | |
| | There are 245 files uploaded that inadvertently fell off of the import queue between 5/11 and 5/15. Currently, files in this situation have an activity status that states 'File waiting to be processed.' If the file is one of those affected, their status will be manually changed by ADE to 'File processing failed, due to a system failure. Re-submit at a later time.' Once you see this status, please resubmit the file to SAIS.

| | ADM Integrity is running unusually slow and as a result has created a huge backlog of Integrity transactions. This in turn forced us to not trigger the latest scheduled state-wide Aggregation. We are currently investigating the issue and will keep you informed. In addition, there are integrity failures due to SAIS Internal Errors and we will clean those up when the problem is resolved. Thanks.

| | Concurrency code may not be showing properly on the 72 and 75 reports depending on if the concurrency is current or if there was a concurrency at some point during the FY for which the report is run. A fix will show all concurrencies for the FY for which the report is run. | 19331 | Analyze - Software Devlopment - priority low | |

| | Special Enrollment codes (CEC-A, CEC-B, Open Enrollment) are uploaded and saved to our database but the reports are not picking them up. It is just a display issue. Funding will still be allocatted for the schools which has these Special Enrollment codes. | 27640 | resolved on 4/18/2005 | |
| | An isolated anomaly in the network system during the aggregation run from last weekend may have indirectly resulted in some students not being aggregated as expected. The unexpected results you may have seen due to the anomaly were missing students on the ADMS75 report resulting in lowered ADM counts. ADE has identified the resolution to the isolated problem and is currently re-running aggregation for affected students. Once this process is complete, the ADM counts should be correct again. Thank you.

| | ELL Assessment - Workaround There is a workaround if your vendor cannot handle uploading an FY 2004 assessment in the current FY 2005. This may be necessary to make your current FY 2005 ELL program participation valid. Accomplishing this task can be done via the Needs Online application. | | | |

| SPED Need categories that must exist for MD to be valid are: Two or more of HI, MOMR, OI, VI OR One of HI, MOMR, OI, VI and at least one of ED, EDP, MIMR, SLD | SPED submitted of MD is getting incorrect Integrity validation. | | Various reports for FY 05, including the 71, 73, and 76 series, can be incorrectly indicating students as foreign exchange students. On 75, Foreign Exchange should not appear. This will be resolved once Aggregation changes pertaining to Tuition Payer is applied. Please note that the issue is related to reports only, and not our internal databases (ADM). | 23690; 24552; 25722 | Resolved | |
